Retrieve information about the contract record.

Add a condition to check that the parent matter ID on the contract record is empty. Note: you'll need to use a variable to convert the matter ID into a string in order to use the empty() function in a condition. Also, check any other characteristics of the contract record that determine whether the workflow should continue.

Create a matter, inheriting relevant information from the contract record (i.e. fields in common). This action can be placed inside a case of a switch if different contract characteristics should result in different types of parent matters or additional steps. Then, update the contract field to record the new parent matter ID.

(Optional) Add a status message to the LawVu contract record to confirm that an automation has created the parent matter. You could also send custom email notifications—e.g., to the contract owner—to alert them that the parent matter exists and explain why the automation created it.

This workflow creates a parent matter for an existing contract record if the contract is updated and now meets defined criteria.

Many organizations allow various teams to manage contracts, but when a contract meets certain criteria, legal counsel may need to get involved. One approach is to check the metadata fields on a contract record. If they are updated and the contract now meets the defined conditions, an automation creates a matter based on the characteristics of the contract and links it to the existing contract record in a parent-child relationship.

Once the legal team is involved via a matter, this workflow does not need to run again. Therefore, the flow can be terminated if a parent matter already exists or if the criteria are not met.
