How it works

1

Workflow is triggered when a contract record is created in LawVu.

2

Retrieve information about the contract record.

3

Use a switch in Power Platform to branch your workflow depending on the factor which inputs into the team assignment eg region and contract type. This may involve multiple nested switches. For example, at the top level, you might branch by contract type, and within each branch, further differentiate based on specific characteristics - each leading the automation down a different path.

4

In each branch, update contract field, selecting the team as the field, and set the team based on the branch of the switch. If more than one team needs to have access automatically, then you will need to create a combination team in LawVu for which the access is inherited by each of the constituent teams in the combination.

5

(Optional) Add a status message to the LawVu contract record to confirm that an automation has assigned the team based on the factors e.g. region and contract type.

Getting started

This workflow assigns a team to all new contract records immediately after they are created.

Many organizations want to partition contract visibility by region so that, for example, UK business users have access to UK NDAs, and Australian business users have access to Australian NDAs—without any crossover in access or visibility. With automation, you can assign the team based on region, ensuring that the correct subsets of the business are granted access to contract records using the appropriate combination of type and other factors, such as region.
