How it works

1

Workflow is triggered when a matter record is created in LawVu.

2

Retrieve information about the matter record.

3

Use a switch in Power Platform to branch your workflow based on factors that influence matter manager assignment, such as region and matter type.

4

For each case in the switch that assigns a matter manager, use the "Add user to matter" action—selecting the appropriate user and selecting manager. Alternatively, or in addition, your automation can add other members to the matter—such as legal team contributors or business users (e.g. executives)—based on the same characteristics.

5

(Optional) Add a status message to the LawVu matter record to confirm that the automation has assigned a manager based on the specified factors (e.g. region and matter type).

Getting started

This workflow assigns a matter manager to matter records with predefined characteristics immediately after the matter is created.

Many organizations already know who the matter manager should be in certain circumstances—for example, UK Employment matters go to Sally, and UK Property matters go to Simon. However, in larger teams or other regions, it may not be appropriate to assign a matter manager by default. Matter types alone are insufficient, as the division of work is not based solely on the type of work but also on location. Without automation, you might need to create an artificially large number of matter types—repeating them across each region, entity, or other relevant factor used to assign work. Alternatively, you would have to manually reassign matters after creation, which introduces the risk of human error. Even the process of reassigning the team could potentially violate internal rules about who is permitted to view certain matters.
